Executive Assistant & Office Manager

Happy Days Nurseries are seeking an Executive Assistant & Office Manager to join our Central Support Team at our Summercourt Support Centre.

As Executive Assistant and Office Manager, you will play a vital role in providing high-quality personal assistance and administrative support to our Directors, as well as the day-to-day management of our office administration team.

We are seeking someone who has exceptional organisation skills, and meticulous attention to detail, and who has experience in providing personal assistance and administrative support to Senior/Director level colleagues.

What You’ll Be Doing:

  • Providing full PA and administrative support to the company Directors, and working especially closely with the Managing Director.
  • Management of Director diaries, booking meeting rooms, board meetings and events, appointments and arranging travel / hotels
  • Screening telephone calls, enquiries, complaints and requests, handling or triaging them as appropriate
  • Managing the company car fleet in accordance with the group policy
  • Providing administrative support in meetings, providing documents, and recording minutes
  • Managing the office team to include any training and ongoing support as required.
  • Overseeing the office stationary and welfare budgets
  • Recording and monitoring of any Data Breeches and supporting with SAR requests
  • Updating and filing of company policies and procedures
  • Assisting with company projects, future projects include Data Mapping and centralising the company archiving.

Required Skills and Experience:

  • Previous experience within a Personal Assistant or Office Manager role
  • The ability to handle information professionally and confidentially
  • Strong attention to detail, with the ability to multitask, prioritise and adapt in a fast-paced environment
  • Outstanding organisational and time management skills, to meet strict deadlines
  • Great rapport building skills, to build strong relationships with both internal and external customers
  • Competent IT user, with experience of Word, Excel, PowerPoint, Adobe Pro and SharePoint as well as business software resources.
  • The ability to work independently, making decisions where necessary and to work as part of a wider team
  • Excellent communication skills, both written and verbal
